Senior Lease Administrator
Position Summary
The Senior Lease Administrator is responsible for managing and administering a portfolio of commercial, retail, industrial, or corporate real estate leases. This role ensures lease compliance, maintains accurate lease records, oversees critical lease obligations, supports financial reporting, and serves as a key liaison among landlords, tenants, legal teams, accounting departments, and property management professionals. The Senior Lease Administrator also provides guidance to junior staff and supports strategic real estate initiatives.
Key Responsibilities
Lease Administration
- Review, interpret, and administer lease agreements, amendments, renewals, assignments, and other related documents.
- Maintain accurate lease data within lease administration systems and databases.
- Monitor critical dates, including renewals, expirations, rent escalations, options, and notice periods.
- Ensure compliance with lease terms and contractual obligations.
- Coordinate lease audits and reconcile discrepancies with landlords or tenants.
Financial Management
- Calculate and verify rent payments, operating expenses, common area maintenance (CAM) charges, taxes, and insurance obligations.
- Review landlord invoices and ensure proper payment authorization.
- Reconcile annual operating expense statements and rent escalations.
- Support budgeting, forecasting, and financial reporting activities.
- Assist with lease accounting compliance under applicable standards such as ASC 842 and IFRS 16.
Portfolio Management
- Track lease obligations and ensure timely execution of required actions.
- Prepare lease abstracts and executive summaries.
- Support acquisition, disposition, expansion, and relocation projects.
- Generate portfolio reports and analytics for management decision-making.
- Identify opportunities for cost savings and lease optimization.
Stakeholder Coordination
- Serve as the primary point of contact for lease-related inquiries.
- Collaborate with legal, finance, accounting, facilities, and real estate teams.
- Coordinate with landlords, brokers, property managers, and external consultants.
- Support dispute resolution related to lease interpretation and billing matters.
Leadership and Process Improvement
- Provide guidance and mentoring to Lease Administrators and junior team members.
- Develop and maintain lease administration policies and procedures.
- Recommend process improvements and system enhancements.
- Participate in software implementation, testing, and data migration projects.
Qualifications
Education
- Bachelor’s degree in Business Administration, Real Estate, Finance, Accounting, or a related field preferred.
Experience
- 5–8+ years of lease administration, commercial real estate, property management, or related experience.
- Experience managing large and complex lease portfolios.
- Knowledge of lease accounting standards (ASC 842 and/or IFRS 16) preferred.
Skills
- Strong understanding of commercial lease terminology and real estate transactions.
- Excellent analytical and financial reconciliation skills.
- Advanced proficiency in Microsoft Excel and lease management software.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities and deadlines.
- Problem-solving and negotiation skills.
Preferred Qualifications
- Professional certifications such as Certified Lease & Finance Professional (CLFP) or real estate-related credentials.
- Experience with lease administration platforms such as Visual Lease, LeaseAccelerator, CoStar, Lucernex, MRI, or Yardi.
- Experience supporting multi-state or international real estate portfolios.
Work Environment
- Hybrid or office-based environment.
- Occasional travel may be required for portfolio reviews, audits, or site visits.
Reporting Structure
Reports to: Real Estate Manager, Director of Real Estate, Corporate Real Estate Manager, or Finance Director.
Typical salary range (U.S.): Approximately $80,000–$100,000 annually, depending on location, portfolio complexity, industry, and experience.
