A well-established construction company located in Falmouth, MA is seeking a detail-oriented and experienced Accounts Receivable Specialist to join their accounting and finance team. This role is critical to maintaining healthy cash flow, managing project billing cycles, and supporting client relationships. In addition to owning the full-cycle Accounts Receivable process, this position serves as the primary backup for weekly payroll administration.
Alongside a competitive hourly rate of $34–$40/hr, this company stands out by offering 100% employer-paid benefits, providing exceptional overall value and long-term stability. If you have a strong background in construction accounting, understand the nuances of progress billing and lien waivers, and thrive in a collaborative environment, we would love to connect with you.
Key Responsibilities
Accounts Receivable (Primary Focus)

• Project & Progress Billing: Prepare, review, and submit accurate customer invoices, including AIA-style progress billings (G702/G703), Time & Materials (T&M), and standard commercial/residential billing.
• Cash Applications & Collections: Receive, record, and deposit incoming payments (checks, ACH, wire transfers) and accurately apply cash to open invoices and specific job codes.
• Portfolio Management: Monitor the AR aging report weekly, proactively following up with project managers, general contractors, and clients on past-due accounts to resolve billing discrepancies and ensure timely payment.
• Compliance & Documentation: Draft, track, and manage partial and final lien waivers, Preliminary Notices, and Certificates of Insurance (COIs) required for payment release.
• Change Orders & Retainage: Track approved change orders, update contract values within the ERP system, and manage retainage billing and collection upon project completion.
• Month-End Close: Reconcile the AR sub-ledger to the General Ledger monthly and assist the Controller/Accounting Manager with WIP (Work in Progress) schedules and audit requests.
Payroll Support (Secondary / Backup Focus)

• Payroll Processing Backup: Step in as the primary backup to process weekly construction payroll, ensuring accurate and timely compensation for both field and office personnel.
• Timecard & Job Costing Review: Audit weekly timecards, verify supervisor approvals, and ensure labor hours are allocated to the correct job numbers and cost codes.
• Compliance & Reporting: Assist with certified payroll reporting, prevailing wage compliance, union reporting (if applicable), and tracking PTO/sick time accruals.
Qualifications & Requirements

• Experience: 3+ years of dedicated Accounts Receivable experience, strictly within the construction, contracting, or related trades industry.
• Payroll Knowledge: Prior hands-on experience processing or assisting with construction payroll (familiarity with job costing labor hours and certified payroll is highly preferred).
• Technical Skills:

• Proficiency in construction accounting ERP software (e.g., Sage 300 CRE / Timberline, Viewpoint Vista, Foundation, Procore, or QuickBooks Contractor Edition).
• Strong proficiency in Microsoft Excel (pivot tables, VLOOKUPs, and data reconciliation).

• Industry Acumen: Solid working knowledge of AIA billing formats, retainage tracking, sales/use tax regulations, and mechanics lien laws.
• Soft Skills: Exceptional organizational skills, high attention to accuracy, and the ability to communicate professionally and firmly with both field project managers and external clients.
• Education: Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration is a plus, though equivalent hands-on construction accounting experience is equally valued.

• Hourly Rate: $34.00 – $40.00 per hour, commensurate with experience.
